What types of events do you provide hair and makeup for?
We provide on-site hair and makeup for a wide range of events: corporate events, conferences, galas, premieres, media days, photoshoots (editorial, branding, campaigns, headshots, lookbooks), TV & film stills, private parties, birthdays, red carpet appearances, festivals, charity events and more. If people need to look polished, camera-ready or glam, we can be there.
Do you travel on-site to our office, venue or set?
Yes. Beauty Icon NYC is a fully mobile team. We travel to offices, hotels, studios, private homes, event venues and on-set locations. For events outside of NYC / NJ or for early call times, travel and accommodation fees may apply.
How far in advance should we book for an event?
For corporate events and photoshoots, we recommend booking as early as possible once you have a confirmed date - ideally 4–8 weeks in advance. For large bookings, multi-day events or peak seasons (wedding season, holidays, fashion weeks), we suggest reaching out even earlier to secure your preferred date and time.
What information do you need to provide a quote for an event?
To prepare an accurate quote, we need the event date(s), location(s), time to get ready by, the number of people requiring hair and/or makeup, the type of event, and any special requirements such as on-site touch-ups, look changes, or a group schedule. We do not require a start time – our team calculates that based on your “ready by” timing.
Can you handle large groups or multi-day events?
Yes. We regularly work with large corporate groups, conferences, summits, branded activations and multi-day productions. We build a dedicated team of artists for your event, assign a lead artist to coordinate timing and looks, and can scale up with additional artists and assistants as needed.
Will we have the same artists for all days of our event or campaign?
Whenever possible, we keep the same core team across all days of your event or campaign for consistency. For very large or overlapping schedules, we may add extra artists, but your lead artist will supervise the overall look and direction so that everything feels cohesive.
Do you offer touch-ups or stay-on-site services?
Yes. We can stay on-site for touch-ups, look changes between segments or shooting blocks, and to maintain shine control, hair smoothness and overall freshness. This can be booked as half-day or full-day rates, or as hourly touch-up coverage depending on your needs.
How much time do you need per person for hair and makeup?
For most events, we typically allocate around 45–60 minutes for makeup and 45–60 minutes for hair per person, depending on the complexity of the look. For simpler grooming, camera-ready looks or men’s grooming, the timing can be shorter. For complex glam or creative looks, we may need additional time and will plan the schedule accordingly.
What do you need us to provide at the venue or on set?
Ideally, we need a clean, well-lit space with access to outlets, a table for products, and chairs for the people being styled. Natural light is helpful but not mandatory as we also bring professional lighting. For large bookings, additional space for multiple artists is recommended to keep everything flowing smoothly.
Can you match a specific brief, brand guidelines or moodboard?
Absolutely. We frequently work with brand teams, agencies and production companies who have strict brand guidelines and visual references. Share your moodboards, references, color stories and brand rules in advance, and we will design looks that align with your visual identity and the purpose of the event or campaign.
Do you offer hair-only or makeup-only services for events?
Yes. You can book hair-only, makeup-only, or both. For some corporate or photoshoot clients, we focus mainly on camera-ready grooming and light touch-ups; for special occasions and red carpet, we may provide full glam hair and makeup.
Do you work with all skin tones, hair types and genders?
Yes. Our team is experienced with all skin tones, undertones, facial features, hair textures and lengths. We can provide inclusive looks for diverse teams and casts, ensuring everyone feels comfortable, respected and confident in front of the camera or at the event.
Are trials recommended for events, photoshoots or corporate bookings?
Trials are optional but can be very helpful for key talent, executives, speakers or hosts - especially if they have specific preferences or will be heavily photographed/filmed. For large events, we may recommend a short test session or a pre-production meeting with the lead artist to align on direction and expectations.
How should talent prepare their skin and hair before the event?
We recommend clean, moisturized skin with no heavy SPF or oil-based products that might cause flashback or separation on camera. For hair, it’s best if it is clean and completely dry unless we have discussed another approach. Any specific prep instructions will be shared by our team once the booking is confirmed.
Can you create both natural and full glam looks for the same event?
Yes. We can design a look range that fits your event: from polished “barely there” makeup and soft waves for daytime events, to full glam, editorial or themed looks for galas, festivals and campaigns. Just let us know what overall vibe you’re going for and if there are different “tiers” of glam needed (for speakers, VIPs, general attendees, etc.).
How are your rates structured for events and productions?
Event pricing usually depends on the number of people, the services required (hair, makeup, grooming), the length of coverage (one-time styling vs half-day/full-day), and any additional needs such as on-site touch-ups, look changes or multi-day bookings. Once we have your details, we’ll send a customized quote tailored to your event.
Do you charge travel, early-morning or late-night fees?
Travel fees may apply for locations outside our standard service area, for tolls, parking, or ride services. Very early call times or late-night wrap times may also incur additional fees. All of these details will be clearly outlined in your proposal before you confirm your booking.
What is your booking, retainer and cancellation policy for events?
To secure your date, we require a non-refundable retainer. Most event bookings are made without a contract, but the same policies apply. If the booking is not canceled at least 48 hours in advance, the retainer is non-refundable. All details are clearly outlined at the time of booking.
Can you support recurring events, campaigns or ongoing corporate needs?
Yes. We regularly partner with brands, agencies, and corporate teams on recurring events, quarterly campaigns, annual activations, and multi-day productions. We already have long-term relationships with several top companies – including large corporate and pharmaceutical groups – where we provide event beauty services year after year. We can build a consistent team, maintain preferred looks, streamline scheduling, and support ongoing beauty needs as part of a long-term partnership.
Do you travel for destination events, conferences or productions?
Yes. We are available for destination events, conferences and productions outside of NYC / NJ and internationally, depending on date availability and scope. Travel, accommodation and per diem will be added to your quote. Share the location, schedule and scope, and we will let you know what is possible.
